Information we collect **Account information** you give us: - Carrier identity: company name, DOT, MC, contact name, phone, email, billing address - Authority info: insurance certificates, FMCSA records - Preferences: lanes, equipment, minimum $/mi, deadhead tolerance **Activity information** we collect automatically while you use the carrier dashboard: - Pages you visit (route paths inside `/carrier/*`) - Buttons and links you click (e.g., load opens, bid starts, lane saves, profile saves) - Search queries and filter changes - Time of activity, IP address, browser user-agent, referring page - Email opens and link clicks in our daily blast emails **Load and bid information**: - Loads you view, bids you submit, agreements you sign - Communications you exchange with our dispatchers (calls may be recorded — see §6) **FMCSA / regulatory information** we pull from public sources: - DOT safety ratings, OOS history, insurance status - Carrier identity verification through SAFER and similar APIs ## 2. How we use it - **Match you to loads** — your lanes, equipment, location, and historical engagement drive the personalized morning emails and the `/carrier/loads/available` board. - **Improve the product** — aggregate dashboard activity tells us which features work and which pages confuse people. We use this to ship better tools. - **Settle accounts** — invoicing, payment processing, dispute resolution. - **Comply with law** — FMCSA reporting, IRS 1099s, anti-money-laundering checks where required. - **Communicate** — daily lane-matched emails, occasional SMS for urgent dispatch (TCPA-compliant), service updates, security alerts. ## 3. How we share it We don't sell your information. We share narrowly: - **With shippers** when you bid on their load — they see your carrier identity, insurance, and contact info as needed to complete the booking. - **With service providers** (payment processors, email infrastructure, hosting, customer-support tools) under written confidentiality terms. - **As required by law** — court orders, subpoenas, regulator requests. - **In a business transfer** — if SXLF is acquired or merged, your data moves with the brokerage to the successor. ## 4. Your choices - **Email**: unsubscribe link in every marketing email kills the daily blast. - **SMS**: reply STOP to opt out of texts; HELP for help. - **Tracking**: you can request a copy of your activity log or ask us to delete it (subject to legal retention requirements — see §7) by emailing quotes@stretchxlfreight.com. - **Account closure**: email us; we'll deactivate and purge non-required data within 30 days. ## 5. Cookies + similar tech We use first-party cookies to keep you signed in, remember your filter preferences, and run dashboard analytics. We don't use third-party ad tracking. You can clear cookies in your browser anytime — doing so will sign you out. ## 6. Communications recording Phone calls between you and our dispatch team may be recorded for quality and training. South Carolina is a one-party-consent state; this Policy is our disclosure of the recording practice. If you don't want a call recorded, ask the dispatcher and we'll switch to a non-recorded line. ## 7. Data retention - **Account + financial records**: 7 years (IRS / regulatory) - **Activity logs**: 24 months - **Marketing communication logs**: 24 months - **Communications recordings**: 12 months unless flagged for dispute - After retention, data is deleted or fully anonymized. ## 8. Security We use industry-standard encryption in transit (TLS) and at rest. Access to your data inside SXLF is limited to staff who need it for dispatch, billing, or product work. We don't store payment cards on our servers (Stripe-tokenized only). No system is 100% secure — if we ever experience a breach affecting your data, we'll notify you within 72 hours of confirming the scope, consistent with reasonable cybersecurity practice and applicable state breach-notification laws. ## 9. Children + non-business users SXLF is a B2B platform. We do not knowingly collect information from anyone under 18 or from consumers outside a business carrier or shipper context. ## 10. Changes to this Policy We may update this Policy. Material changes (new collection categories, new sharing practices, new uses) will be flagged with a notice in the carrier dashboard and an email.
